WHAT IS THIS POLICY FOR?

Charlotte Nicholson Yoga (UK) offers:

Body-breath-mind teaching using practices drawn from the Yoga, Yin Yoga, Tantra and Buddhist traditions and informed by an awareness of the neurobiology of stress and trauma and how these impact our capacities for feeling secure in ourselves, managing our emotions and relating with others.

In order to provide these services this website & Charlotte Nicholson collect data from you. This policy explains:

  • what data is collected

  • why this data is collected

  • how this data is stored

  • your rights in relation to this data

WHAT DATA DO I HOLD?

Information You Have Shared:

Information about your life as part of an intake process for my teaching services:

If you have emailed me, filled in a contact form or scheduled to have a call about my services and/or program, you will have shared your contact details & in some cases your profession & your areas of interest.

Contacts on my mailing list for my newsletters will be kept indefinitely or until an individual unsubscribes.

Information I May Generate:

A record of our classes or calls with dates, brief information on what was covered & any tools and/or recordings offered - these can be shared with you on request.

Video and audio recordings of our practices together for your ongoing use and/or reference.

A record of invoices, receipts of payments & any payment plans used.

WHY I COLLECT THIS DATA & FOR HOW LONG

A record of the work I do with you is to help me remember and review our work.

Where you have shared your contact details as an enquiry or to schedule a chat or class, these details will only be used to make contact with you in relation to scheduling, and if we go on to work longer term together, to communicate about future sessions.

My accreditation body and insurance company recommend, based on UK Statute of Limitation law, that I hold on to client records for 7yrs after our work has ended.

Thereafter, all information will be deleted.

WHERE I STORE & SECURE YOUR DATA

I only store information digitally. I make use of iCloud Advanced Data Protection services. These services are password protected & encrypted. You can read about how iCloud protects its stored data here.

My accounts are accessed via password protected mobile devices including a laptop, tablet & mobile phone. Mobile phone numbers for clients are held locally on my mobile phone. No other identifying information is held locally on any of my mobile devices or external hard drives.

SECURITY ON THE INTERNET

Although this website uses SSL protection (when you are on a secure page, a lock icon will appear next to the web address) I cannot guarantee that the data will be 100% secure when it is transmitted. As a result I cannot guarantee the security of any information you transmit to me through enquiry forms, registration forms, or email enquiries, and you do so at your own risk. Once I receive your information, I make every effort to ensure its security on my own systems - see the section above. 

This website includes hyperlinks to, and details of, third party websites. I have no control over, and am not responsible for, the privacy policies and practices of third parties.

CONFIDENTIALITY POLICY

CLIENT CONFIDENTIALITY POLICY

No information regarding a client will be shared or distributed.

EXCEPTIONS TO CONFIDENTIALITY

Under the following conditions it may be necessary to disclose information pertaining to a client:

  • If in Charlotte’s judgement a client poses a risk of harm to themselves or to others.

  • If a client reports information indicating that a vulnerable person is suffering neglect or abuse.

If appropriate, and only after seeking consent from the client, it is felt necessary to consult with a treating physician, therapist, other care provider, social services or the police.

In some cases Charlotte’s work may take place as part of a wider clinical or therapeutic team. In such cases it may be useful for Charlotte to participate in team meetings, reflective practice groups & supervision sessions.

In these instances references to a client will be anonymised.
